This manual will guide you through the NEW process of exhibiting at the National Bridal Market. It outlines all exhibitor details and extra items you may rent for the show. Please reference this exhibitor manual for additional promotional information and ways to maximize your positive experience at the show.

Boomer

BOOMER is the NEW National Bridal Market operations service portal for your booth set-up needs. Access booth service order forms as well as shipping, set-up and dismantling information. You can also order labor, material handling, electric service, housekeeping, and/or furniture rental.  This is a NEW process to order items for the show.

PLEASE KEEP IN MIND THAT ANY DAMAGE TO TABLES AND BOOTH EQUIPMENT, INCLUDING DAMAGE LEFT BY NAILS OR STAPLERS, WILL RESULT IN A FEE.

THE FOLLOWING SERVICES MUST BE ORDERED THROUGH BOOMER. 

 

BOOTH CLEANING

As part of our service, theMART ensures that all booths will be vacuumed prior to the first day of market at no charge. Additional cleaning can be ordered through Boomer.

BOOTH CUSTOMIZATION - ORDER DEADLINE IS Wednesday, February 27th!

Your booth can be customized through construction, painting, or flooring. theMART will provide a quote that must be approved by the Exhibitor before the production of the custom work begins. Alternatively, you may contract an installer to do such work for you, consistent with the rules regarding Exhibitor Appointed ContractorsDeadline for booth customization forms is February 27th. All work must be paid in full prior to show start.

Always confirm that your order was received.

BOOTH LIGHTING AND ELECTRICAL SERVICES

Each 10’ x 10’ space is equipped with a 8’ long LED overhead strip light, and a 150 watt duplex outlet. All electrical services will be provided and installed by theMART.  Additional lighting and electrical can be ordered on Boomer. You may not use your own spots.

DRESSING ROOMS

Any exhibitor that has models must build a dressing room or rent a screen. If you would like to include a Dressing Room in your space, order through Boomer to request a quote. Bridal screens can be ordered through the Customization of Booth Order Form under Forms in Boomer. Please note that models are not allowed to use the restroom for changing.

SEAMLESS WALL COVERING & Paint

Pricing on wall covering and paint includes materials, installation and restoration.  Wall covering and paint will be installed prior to move-in. Please note the pricing listed does not include free standing booth columns. If your booth is larger than what is posted or if you would like additional walls or columns treated, please submit the Booth Customization Form on Boomer and staff member will contact you regarding pricing.

BUSINESS SERVICES/SERVICE DESK

The Exhibitor Service Desks, located on the 7th floor, offers business services, including photocopying and faxing. The Service Desk can also respond to questions about shipping, materials handling, billing, and will be happy to assist you in placing orders for booth services or equipment. DRAYAGE

THIS COST IS INCLUDED IN YOUR BOOTH PACKAGE. Also known as “materials handling,” drayage is the labor to receive freight during move-in, delivering it to your booth, removing empty containers, storing and returning them after the show, and loading materials for outbound shipping.

EMPTY CONTAINER STORAGE

Due to City of Chicago Fire Ordinances, packing materials may not remain on the show floor while the show is open. Flammable containers must be removed from the floor.

"EMPTY" labels are available at the Exhibitor Service Desk that must be used to mark your crates, boxes and containers with your company name and booth number. Leave the containers in the aisle and these empty containers will be picked up by theMART staff and returned to you at the end of the Show. Please remember that you will not have access to these containers during the show and that no boxes will be distributed before Show close. Please do not request your empty boxes prior to breakdown.

GRATUITY

All members of the theMART staff are a team. Show Management requests that exhibitors do not offer gratuity for labor.

SECURITY

Show security will be on duty 24 hours a day from move-in to move-out, but cannot and should not be counted on to provide more than a presence to inhibit theft. To help provide for the security of merchandise in your booth, we advise you to staff your booth at all times and not to leave valuables unattended. Any exhibitor requiring special guard services may request such services with the approval of Show Management.

PLEASE KEEP IN MIND THAT ANY DAMAGE (I.E NAILS / STAPLES) TO TABLES AND BOOTH EQUIPMENT WILL RESULT IN A FEE. All walls must be returned to smooth and clean surface. All staples, nails, tape, etc must be taken off the walls. If not, a fee will be assessed.

INSURANCE

All companies are required to carry Show Insurance to cover any incidentals that occur prior to, during, or after the show. Insurance should cover shipping, labor, loss and damage to any goods or property. It is not necessary to send the insurance paperwork to Show Management.

Any models you employ must be registered. They will need a model badge to enter the show floor. Any model registered at your booth is your companies’ responsibility and you must make them aware of show rules.

MODELS MUST REMAIN IN THE BOOTH AND NOT AWALK THE AISLES. MODELS ARE NOT PERMITED TO CHANGE IN THE RESTROOMS OR MOTHER’S ROOM. All models must change into their street clothes / robes  before they leave the booth for any reason.

PHOTOGRAPHY, VIDEOTAPING & BROADCASTING

Photographing, videotaping, filming, or sound recording is prohibited without the prior written consent of Show Management.

STAFFING, DRESSERS & STEAMER HELP

For your temporary booth staffing needs, including dressers and steamer help, please refer to the GCJ Hospitality Form on Boomer.

A limited amount of steamers are available to rent on a first come first serve basis at the Exhibitor Service Desk. The rental charge is $31.00/hour.

Please mention The National Bridal Market™ when placing your order.  This will ensure ease of delivery and waive any minimum order requirements. When ordering runway staging, the maximum height of the runways should be eight (8) inches.  Skirting for staging does not come automatically and should be ordered separately. 

These companies are provided solely as a resource.  Please follow delivery and return instructions that they may have, as additional fees may be charged if all materials are not returned.  In some cases you may need to file a Bill of Lading with the freight desk for outbound shipments. 

Inform the rental company when materials need to be delivered and picked up. theMART is not responsible for loss or theft of materials after they have been delivered to your Market Suite or after they have been picked up for loading out of the dock.

PRIORITY SHIPPING

Deliveries from both FedEx and UPS to the Mart (including priority shipments) tend to be random during high shipping periods prior to the show. FedEx and UPS deliveries received after Thursday, March 14th will be delivered to your booth as they are received and signed for. However, since FedEx and UPS deliveries to theMart are inconsistent, please be advised that even priority shipments to your booth may be significantly delayed.

We urge you to take advantage of the priority FedEx/UPS Thursday shipping program to ensure delivery to your booth.

UPS/FED EX/SMALL PACKAGE SERVICES

All packages will be received through the loading dock. Please note that piece counts cannot be guaranteed for such shipments. Where possible, exhibitors may avoid delays and extra charges by having express deliveries shipped to their hotel. Any packages received outside of the designated shipping schedule will be billed at a rate of $55.00 per 100lbs. UPS and Fedex shipments can start being received as of March 14th. Whenever possible, all boxes should be palletized to help in both delivery and in inventory for the exhibitors.

You may ship your materials from the show via any carrier. You are required only to contact your carrier, pack your materials, and file a Bill of Lading with the freight desk. Merchandise Mart Properties, Inc. assumes no responsibility for shipments until they are collected from the exhibitor’s booth. It is the exhibitor’s responsibility to ensure that all shipping paperwork is completed in full and attached to the proper boxes. Any boxes not picked up by *outside carriers, during the posted load out time, will be given to UPS Freight and the exhibitor will have to pay for the service. Unlabeled boxes will be discarded and theMART will not be responsible for their contents or value.

DOMESTIC SHIPPING

UPS Freight is the preferred shipper of the National Bridal Market Chicago™. However, each exhibitor is free to choose their own means of shipping.

INTERNATIONAL SHIPPING - CLEARING CUSTOMS

R.E. Rogers is the official customs broker and international freight forwarder for NATIONAL BRIDAL MARKET™ CHICAGO. For information please contact Sherry Pelc at (702) 272-1596 or spelc@rerogers.com.

theMART receives freight directly at the trade show facility and will operate all drayage services and costs.

However, pursuant to all applicable laws, theMART is not the importer or the appointed agent of any exhibitor or tenant of a trade show. Therefore, theMART will not provide its federal tax identification number to act as the importer of record for US customs clearance of any international shipments for exhibitors/tenants of the trade shows it manages. If you require an EIN number of a consignee we need to review your custom broker shipment paperwork for approval. theMART assumes no responsibility or liability for shipping fees.

Each tenant or exhibitor must work directly with a customs broker to clear trade show shipments in the broker’s name or in the exhibitor’s name through a customs power of attorney form. A BOL will be needed for R.E Rogers shipments; they will advise on filling out the form.

HELPFUL HINTS FOR SHIPPING

  • Every shipment that leaves the building (not including POV's or hand carry items) needs a BOL. 1 shipment can be 1 box or 100 boxes, as long as the items are going to the same location its considered (1) shipment. Within the BOL, the exhibitors will have to do a piece count. Please note, theMART BOL will be separate from the BOL that the exhibitors chosen shipping company will produce for them. For theMART’s purposes, we only require theMART'S BOL to be filled out.

  • Keep records of all tracking and shipping numbers to confirm that all packages have been delivered.

  • Utilize the advance shipping days.

  • Make sure your shipper is aware of the freight delivery and pick-up schedule.

  • When preparing to ship for the National Bridal Market Chicago, be conscious of the freight size limitations. Freight cannot exceed
    5' wide x 10' long x 5'8" high or weigh over 1,000 lbs.

    • Any freight that exceeds these measurements and theMART does not feel safe to turn on its side will be charged a handling fee of $55 per item, per trip in and out.

    • theMART is not responsible for damage or loss to product during turning.

    • Any items too large to move will be held at the loading dock for unpacking. An hourly surcharge will be applied to break down and delivery and your booth set-up will be delayed.
       

  • Remember to include your Company Name (as it appears on your booth) & Booth # on all shipments to the Merchandise Mart.

  • Consolidate all freight—booth, merchandise, literature, etc.—into one shipment.

  • Create a detailed inventory sheet of every item you are shipping or bringing to the show. Be able to provide the number of units, item descriptions (i.e. cartons, cases, crates, and/or individual items), and weight for all shipments being delivered to the Show. All shipments should include piece count to ensure proper tracking, manifesting, and delivery of freight.

  • Insure your merchandise against theft, damage, and loss from the time it leaves your facility until it returns.

  • A handling charge of $55.00 per 100lbs is applied to shipments that arrive outside the designated shipping schedules OR to shipments that exceed the freight size limitations or arrive loose and un-crated.

From I-90/94, exit on Ohio Street. At the first light, turn right onto Orleans. Proceed for 3 blocks and turn right onto Hubbard. Proceed for 1 block and turn left onto Kingsbury. Continue for 1 block and turn left onto Kinzie. Continue on Kinzie for 1 block until you reach a stop sign. Turn right into the dock.

Directions to The Merchandise Mart Loading Dock (Cars and Small Trucks)

rom I-90/94, exit on Ohio Street. At second light, turn right onto Franklin. Continue four blocks south on Franklin to Kinzie. Turn right onto Kinzie. At the first stop sign, turn left into the dock.

CONTRACTOR AND LABOR INFORMATION

You have the option of employing your own union labor to assist with the set-up of your booth. If you choose to use the services of an outside contractor, also referred to as an Exhibitor Appointed Contractor (EAC), we ask that you order through Boomer.

CONTRACTOR GUIDELINES

Exhibitors who wish to employ EACs should make known to them the following guidelines:

  • The EAC shall be given the right to provide services requested of them by an exhibitor in set-up and dismantling on the show floor, and shall have the right to utilize qualified employees registered in advance.

  • Services shall not conflict with labor regulations or contracts including jurisdictions claimed by local labor unions. The EAC shall adhere to the rules and regulations in this manual.

  • The EAC shall possess a valid public liability and property damage insurance policy for at least $2,000,000. The certificate of insurance must name Merchandise Mart Properties, Inc., Merchandise Mart L.L.C., Vornado Realty Trust and Vornado Realty L.P. as additional insured.

  • The EAC shall have a true and valid work order from an exhibitor in advance of the show move-in date and shall not solicit business on the show floor or during move-in or move-out dates.

  • The EAC will share with theMART all reasonable costs related to their operation including overtime pay for stewards, restoration of the exhibit space to its initial condition, etc.

  • The EAC shall cooperate fully with theMART, especially with regard to the efficient utilization of labor.

LABOR

  • Any labor personnel working in your booth must be one of the following:

  • Your own company personnel (depending on the type of work being done, union labor may be required). See Union Regulations for additional information.

  • Exhibitor appointed contractor. EACs must comply with guidelines regarding EACs. See Exhibitor Appointed Contractors for additional information.

  • To request theMART Union Labor, please refer to the Installation/Dismantle Labor Request Form. Additional guidelines regarding Labor should be reviewed on this form.

  • All orders for dismantling labor must be confirmed no later than 10:00 am on Monday, March 19th.

UNION REGULATIONS

  • Various unions claim jurisdiction over all set-up and dismantling of exhibits including carpentry, electrical and material handling to name a few. Your personnel may work along with a union installer, if one is necessary.

The Merchandise Mart is bordered by Wells and Orleans Streets on the east and west, and Kinzie Street and the Chicago River on the north and south. From I-90/94, exit east at Ohio Street. Turn south on Wells Street and drive four blocks to The Mart. (The Chicago River is on The Mart's south side).

THERE ARE VARIOUS PARKING GARAGES AVAILABLE NEAR THEMART. 

We recommend: 

  • MartParc Wells garage (401 N. Kinzie)
  • MartParc Orleans garage (437 N. Orleans).

PUBLIC TRANSPORTATION TO THE MART

The Brown and Purple Lines of the Chicago "L" stop at the Merchandise Mart.

Public Transportation from the airports to the Mart

  • From O’Hare: Take the Blue Line to the Clark/Lake stop and transfer to the Brown Line.  Take the escalators up to the Brown Line (only travels in one direction) and get off at the Merchandise Mart, the first stop.
  • From Midway: Take the Orange Line to the Clark/Lake stop and transfer to the Brown Line.  Cross over the tracks and take the Brown Line (only travels in one direction) and get off at the Merchandise Mart, the first stop.

Smoking Policy

NEW: NO SMOKING POLICY 

As part of theMART’s constant effort to improve our tenants and guests experience we are currently pursuing fitwel® building certification and are working with tenants on WELL™ certifications within their spaces. The fitwel and WELL standards are revolutionizing the way people think about buildings. It explores how design, operations and behaviors within the places where we live, work, learn and play can be optimized to advance human health and well-being in the environment.

While there will be several subtle changes around the building, one significant change will be that the property will become 100% “No Smoking”, both inside and outside.  Effective June 1, 2018 smoking on the exterior private property of theMART will be banned.  This includes, but is not limited to, South Drive, North Drive, Orleans and Wells sidewalks.  Smoking is not enforced on City of Chicago property unless otherwise posted.  We ask you to advise staff that if they smoke, they must proceed to an off property location.
